The who, what, when, where, and how of content calendars

Updated: Dec 3, 2022

A social media content calendar can be one of the most useful tools you have, but it can take some time to create one that is fluid. We'll go over the fundamentals of what you need to know while also answering some frequently asked questions about content calendars.

The Nitty Gritty of Content Calendars

Who Should Manage It?

While we're confident you're capable of developing and implementing this on your own, we're also aware that there are other things you can-and should-be doing in your business that are a better use of your time.

A Virtual Assistant can assist you in getting started with your social media presence by collaborating with you on what to post and scheduling those posts for you. They can also design graphics and assist you in establishing or maintaining a social media presence.

A Social Media Manager, on the other hand, can take your social media game to the next level - and beyond.

And it's likely that you'll need a Social Media Manager to help your organisation maintain a successful social media presence, allowing you to build your brand and eventually attract and retain new clients.

These are the individuals who live and breathe social media. People who get butterflies with every ping, ding, and red-badge notification as they eagerly engage with people online.

What Should Be Included – And What Should I Do With It?

You are free to include as much information and detail as you like. Consider including columns in your template to accommodate the date, time, caption, and even word count.

You can even set aside time in the calendar to go back and add data on how many people engaged with each post. This allows you to see what your audience responds to the most and when it is best for your organisation to post.

When you start tracking the analytics of your posts, you'll have a better idea of your online visibility and engagement, and you'll be able to capitalise on what works while changing what doesn't.

Where And When Should It Be Updated?

We recommend that you update your content calendar on a monthly basis. This way, you'll have a better idea of what's coming up and will be able to act rather than react.

With the ability to see a month at a glance, you'll find it easier to plug and play similar content each month to fill your calendar and schedule individual posts.

Make time in your calendar to batch-create and schedule content if possible. This way, you won't have to scramble to create a graphic and a caption the day before a holiday.

How Do I Even Start?

Download a template and tweak it from there. Don't be afraid to make it your own. It can be as simple or as complex as you like.

You should decide which platforms you will use to distribute your content. After that, begin adding your content.

Here are some questions to consider as you’re doing that.

  • Which posts will be consistent?

  • Will you include holiday greetings?

  • What about your blog posts or podcast episodes?

  • Do you want to post behind-the-scenes content?

  • How will you utilize videos?

  • What other content do you already have that you can repurpose?

  • What will the tone of voice be for your content?

  • Should you post a funny meme here and there?

  • How will you attract and engage your audience?

Once you've brainstormed and defined your goals for marketing your business on social media, you're ready to start posting and can pivot from there.
